Erasmus+

Erasmus+ is an EU funding programme that enables school students, university students and teachers to gain international experience, get to know new cultures and broaden their professional and language skills.

Our school has been Erasmus+ accredited since 2024.

That means: if you do your summer work placement abroad, you can apply for financial support through Erasmus+.

Erasmus+ placement timeline - 2026

September, October, November, December

Find a placement (sign an employment contract)

January

Erasmus+ registration in January via Forms (a specific description of your placement: who, how long, where, which employer, what you will be doing) --> (this gets you added to the Erasmus MS Teams channel).

(The form is also sent out again by the Erasmus team at the beginning of December.)

After that: find accommodation, take out insurance for your stay abroad, organise (climate-friendly) travel

February

The following forms* must be uploaded to the Erasmus MS Teams channel AND handed in on paper (in the Erasmus tray in the staff room):

1. Host company information fill in on a computer and upload.

2. Placement contract request it from the host employer, sign it, then scan and upload it once all signatures are in place.

3. Registration/declaration of consent, confirmation that insurance will be taken out, climate-friendly travel, - print the form, fill it in, sign it (and have it signed), scan and upload it.
If the student is not yet of legal age: form 3a; if of legal age: form 3b. If a student turns 17 between registering for the placement and completing it, a new form must be filled in.
--> if you travel climate-friendly, be sure to upload your travel receipts as well and keep the originals.

* All forms can be found in the Erasmus Teams channel under Files.

March, April:

4. Learning Agreement (either English or German, but note: HLW and HLS differ) is drawn up by the school's Erasmus coordinators. Once filled in (on a computer) it must be signed by the host employer, by the student (and their legal guardians) and by the headteacher. (Changes are possible by prior arrangement.)
Scan it and upload it to Teams, hand in a paper copy (Erasmus tray in the staff room).

5. Language test take it on the EU Academy website. You will find the instructions under Files, 5 - Sprachtest Anleitung EU Academy Start.docx. Upload the result as a PDF. After the language test you can sign up for a language course, provided free of charge by the EU. Make use of this opportunity.

During the placement:

6. Short report 1: after 7-14 days in the host country - send a short report by e-mail to the school coordinator (e-mail: erasmus@hlw19.at) (accommodation, tasks, staff, hotel...)

  • How are you doing?

  • What is the accommodation like?

  • What is the placement like?

  • How well do you work together with the staff?

  • What tasks are you carrying out? Is the employer keeping to what was agreed?

7. Monthly performance record (part 1):
after one third of your stay (for three months of the same activity, after the first month; if you switch roles, after 2-3 weeks) fill in the personal assessment (performance record) with your mentor and keep it.
--> this is discussed with your mentor again towards the end of the placement:
Monthly performance record (part 2):
complete the personal assessment (performance record) with your mentor a second time; upload it (Surname_Firstname_PTduring)

Hand it in on paper in the new school year (Erasmus tray in the staff room).

Towards the end of the placement:

8. Personal performance record (use the form) create it, fill it in, sign it, scan and upload it (document name: Surname_Firstname_PTend)

9. HLW/FW confirmation of employment scan and upload it (document name: Surname_Firstname_confirmation)
OR
HLS confirmation of summer placement English (HOMEPAGE) scan and upload

After the placement:

10. Short report 2 shortly before the placement ends, send another e-mail: how was the placement? positives, negatives, tasks, experiences....

11. Language test take it once more - upload the result

12. Social media post draft a post about your stay and send it with 2-5 photos to erasmus@hlw19.at. It will be posted on the school Instagram account and on the website.

13. Postcard send one to your own school (addressed to the coordinator):

14. Participant report - fill in the European Commission's participant report. The invitation arrives by e-mail towards the end of the summer.

15. Take part in Erasmus Day.

Funding can only be granted if ALL of the points listed above have been fulfilled.
